I disagree. I don’t think it’s ‘understandable’ at all and is amazingly unprofessional of the VA – particularly that they shared their personal life story with the potential client as an ‘excuse’ for not getting the job done properly and making mistakes!
So here are my 5 top tips for being professional – when dealing not only directly with clients but also when taking jobs referred by colleagues (and there is of course more than 5 but these are the 5 that come up for me in this scenario):
Being a virtual assistant means you work in a service industry. Service is a verb. You have to DO something to serve clients - but that's also what keeps them coming back and turns them from potential clients,[link widoczny dla zalogowanych], to clients and into advocates.
And for heaven’s sake if you have a job on it takes priority – over everything else – except perhaps a child requiring a doctor visit if there’s no one but you to take them – in which case give the client a quick ring and let them know you’ll be delayed,[link widoczny dla zalogowanych].
This year I started the Virtual Business Show in an attempt to get this sort of information out there and readily accessible to everyone.
It is incredibly frustrating to be putting out fires caused by unprofessional VAs in an attempt to keep people coming back to our industry with work! This client was a professional person who is likely to use VAs again in the future. Potentially not this one but I had to spend 15 minutes of my time on the phone with her this afternoon smoothing things down and encouraging her not to abandon us all completely because of one less-than-encouraging experience.
I referred this client to a VA I knew and trusted in the city – who unfortunately couldn’t help out in this instance but who then referred her to one of THEIR network contacts.
I am in despair!!! For the last few years – five at least – I’ve been trying to teach newbie virtual assistants about how to increase business, stay in business, keep clients happy and so on. By ‘newbie’ I mean anyone who has been in business less than 2-3 years. Forgive me for being blunt but if you have only been in business 12 months to 3 years you are not a veteran VA and you are still learning. I’d even go so far as to say you need to be in business for 5 years before you can wear that tag – given the statistic that over 80% of businesses fail in the first five years.
Today I had to yet again ’save’ the reputation of the industry because of the less-than-ideal way a client was treated by a VA I had referred in a round about kind of way.
I was absolutely dismayed to receive a desperate call from this client to the effect that she had been trying in vain to contact the VA she had been referred to in order to sort out some urgent amendments to the document, and couldn’t get her – did I have an alternative contact for her? (Which of course I didn’t because the VA who secured the job wasn’t the one I originally referred.)
Here’s what happened ….
I received a call from my Yellow Pages ad (an old one) from a client in the city asking me if I could help her. Unfortunately, as I now live in a regional area I couldn’t – in this case she wanted to see the person to speak with them about document production. I have a business ethic that I never leave it at that. If I can’t help a client I believe it is in not only the client’s best interest but also mine and that of the industry as a whole,[link widoczny dla zalogowanych], that I try and find an alternative. So I use my networks and refer. Many VAs do the same.
2. If you have your mobile phone listed as your main contact ANSWER IT – ALWAYS! If for some reason it must go to message bank, ensure you have the professional Message Bank service. Don’t rely on those silly free services by telcos like the one where if a person rings their number is sent in a text to you. And have your phone set so that if you miss a call you are notified by an audible sound. And if you happen to be in the shower or something, check your phone – OFTEN! Assume people are ringing you even if they’re not.
1. Don’t take the job if you can’t fulfill the requirements,[link widoczny dla zalogowanych]. I don’t care how desperate for work you are. If you tell a client – or a colleague referring a job – that you are able to do the work then for heaven’s sake DO IT! If you drop the ball you’re letting not only the client down but the entire industry. In short – you make us ALL look bad!
3. Return calls from clients and colleagues the same day – within an hour of receiving the message at most,[link widoczny dla zalogowanych]. Don’t keep people hanging on guessing – and NEVER leave a client hanging wondering where on earth you’ve gotten to with their job.
I managed to get hold of the client this afternoon to check whether she had sorted things out and she indicated she finally tracked down the VA and has decided she will put the job aside until next week “when the VA may be better able to look at it”. What the?? I nearly had a fit! To make matters worse,[link widoczny dla zalogowanych], this client was making excuses for the VA saying she had a couple of kids at home,[link widoczny dla zalogowanych], she had some personal life things happening and “her head is probably elsewhere right now, understandably”.

5. You may be self-employed but you’re in business! Working from home for yourself definitely has advantages and gives you the opportunity to do things you would not have time for if you worked for someone else, BUT even if you’re looking after kids and it’s school holidays or you have to run Johnny to the doctor at 9.00am, you’re still a business. Make it easy for clients and colleagues to contact you. Have phone numbers and email addresses easily visible on your site. Consider not just using your mobile number (particularly if you don’t check it regularly), or have your home number forwarding to your mobile if you’re going out. Return calls immediately. Respond to email within 24 hours. Be at your computer regularly throughout the day. If something takes you out of the office,[link widoczny dla zalogowanych], make up the time. Please think before you take on a job. If you don’t have the time to do it say so – there are others the job can be referred to. If you do take it on commit to it. Get it done above all else and remember – the customer is always right! If a client asks for changes, you do them, they send it back saying it’s not right and you go back and forth like that for a while – so be it! As a newbie unfortunately you don’t have the luxury of picking and choosing yet. If you’ve taken the job on there’s no such thing as the too hard basket. Taking a job means you’ve taken responsibility for pleasing the client. So do so. Because failing to do so means you potentially mar the reputation of the industry for the rest of us … not to mention you’re unlikely to get work referred to you again.

I am wondering how to apply this lesson to my life. It is so easy to get caught up in thoughts about the past: how our parents screwed us up, who did us wrong in relationships, “if only” thoughts that can literally eat up our lives. Equally, we spend a LOT of time WORRYING about the future: how to be successful,[link widoczny dla zalogowanych], how to find “the right person” for us, what if I make a mistake? It seems to me that if we spent more time in the place where we ARE, we would have less stress and be much happier people. So, how do we do that?
You can check in with yourself. One simple technique is to ask the question, “Where are my hands right now?” Pay attention to where you are PHYSICALLY in space. Feel the “life” in your hands, feet and legs. That exercise gently slows the brain and causes you to focus on the NOW.
And remember! There is also YOGA.

The other day during yoga class, I had an experience that Oprah would call an “Aha!” moment. I was lying on my back during a resting pose, which is graciously given between each posture in the “floor series”, lasting about 10 seconds each time. As I stared at the ceiling (it is necessary to keep your eyes open for the entire class) I tried to think about which posture I would be doing next. I didn’t know. I tried to remember what posture I had JUST DONE, and I couldn’t remember. I realized that, in that moment, I had no idea what was coming, or what I had just experienced. I was completely “in the moment”. And I noticed that I was OK with that. I felt calm. I knew that everything was under control. I knew that there was a higher power (the instructor) who would tell me what to do and when to do it. My job was just to “follow the simple instructions”, which is a saying that Byron Katie uses to describe how she lives her life. Never had I understood that so well before. It was truly freeing.
Or, you might be a “thrill-seeker”. It is thought that people who sky-dive and rock climb are in fact yearning for that connection to the present. Under such circumstances,[link widoczny dla zalogowanych], a small distraction could mean life or death. Certainly, jumping out of an airplane is a good way to FORCE yourself into the moment! I cannot speak from experience on that one. Smile

Bikram Yoga is one of my favorite things and it is also something I resist. I love it because of how healthy I feel after I am done. On November 30th I emailed Caroline. The following day she answered! And thereafter began one incredible journey. The amazing turn of events could and would not have happened without the impeccable research and follow up of Miss Quynh Vu and her co-workers from Eurekaz Services, based in Ho Chi Minh City, working in collaboration with Mrs. Caroline Nguyen Ticarro-Parker, Founder and Director of Catalyst Foundation,[link widoczny dla zalogowanych], which focuses tireless and courageous efforts to improve the lives of orphaned, abandoned, and homeless children in Vietnam. Catalyst Foundation now has a school and is raising funds for a Community Center located in Kien Giang, the area of Vietnam where my daughter was born.
Finding my daughter’s birth family is by far the most touching and life altering story I have yet to relay. It is nothing short of a miracle and testimony to the belief that anything is possible. The power of thought does indeed have infinite potential; however it is up to us to mine this limitless resource and shape it into dreams come true,[link widoczny dla zalogowanych].

My daughter enthusiastically agreed to let me write and publish this extraordinary event in our lives. We hope it will inspire and support all who are adopted and their dual families. And to those children born abroad,[link widoczny dla zalogowanych], in remote parts of the world where poverty is prevalent, where parents find themselves in desperate straits, we hope this story fosters compassion and brings more understanding.
In early December my daughter and I scanned and forwarded the little documentation we had; eight papers which include a hand written substitute birth certificate, and an uninformative medical report, child study and history. We also sent a handful of images from the orphanage taken during her three month stay. And then we waited what seemed like an eternity for word back.
For adoptees the inner drive to find answers and of course the hope of filling huge emotional gaps with something concrete, becomes a personal quest. Delving back in time takes great courage and fortitude,[link widoczny dla zalogowanych], especially when you are a minor like my daughter, who was nearing sixteen when we began. It also takes a willingness to accept whatever happens for better or worse. I don’t know how one truly prepares for any of this. Speaking as an adoptive parent I know it requires being fully present to field your child’s mixed emotions while processing and keeping in check, your own. We drew strength from both states of mind; conscious and unconscious, and gave it our all. For those who have strong faith this was a time we put forth honest and pure intention in our prayers, and relinquished the rest to the higher powers that be. My daughter said, “Mom if God means for me to find my birth family,[link widoczny dla zalogowanych], I will”…
In the last two years I have focused much of my professional efforts as a therapist and Life Coach, writing about intuitive ability. I have also had the pleasure of leading inspirational lectures on extrasensory perception. Sharing personal stories is in itself a self growth and self help tool. How best do we learn but by example? Trusting my feelings every step of the way I entered the void. To begin I needed to find the right people to work with, the earth angels. My daughter’s clear desire to search for her birth family crystallized last summer at which point I begin to sort through our files reviewing the very limited adoption papers we were given. Trying to pick up the loose ends and find leads I emailed the adoption agency we used in the States and the Director from International Mission of Hope who worked with the orphanages in Vietnam. But nearly sixteen years had passed and much to my alarm every viable lead dead ended. The adoption agency was no longer in operation, and neither was International Mission of Hope. My heart sank. “Now where do I go”? I asked myself.

Nia is named after my mother who died when I was very young. My mother’s birthday was March 7th. As the real details about placing my daughter up for adoption were revealed we learned that she was born at home, not in a clinic,[link widoczny dla zalogowanych], not abandoned, and not born on March 29th. She was given to a social worker the family knew when she was twenty days old. With time changes, Vietnam being one day ahead of the United States, it is very possible Nia was born on or around March 7th…
Then in November for the first time in more than fifteen years,[link widoczny dla zalogowanych], we met a woman working in a beauty shop just a few blocks from our home, who comes from the same province in Vietnam as my daughter. I found a site which I bookmarked years ago called Families with Children Adopted from Vietnam, and scrolled through a hundred or more names of alumni families, looking for those who had adopted babies from Kien Giang Province. I found about a dozen listed and only a few families who had adopted in or around 1995. I emailed them all and received one response from a woman who referred me to Caroline and Catalyst Foundation, whom I connected with a few months later, and who became our guiding light. It is interesting to note that when I initially emailed Caroline in the summer (2010) she didn’t respond, and after trying several more times, I set the search process aside, drifting to the shore rather than paddling against the current.
On February 13th I spoke with one of my oldest friends who inquired about the status of the birth parent search. “We are still waiting, but for some reason I just know we are going to find Nia’s birth family” I said. The following morning, on Valentine’s Day, an email arrived with astonishing news! Our search team located and spoke with the woman responsible for processing all the dossiers from the Kien Giang Province and remembered my daughter’s case! She also remembered the family’s individual case worker and agreed to lead our search team to what she believed was the home of my daughter’s birth mother. ….
Mrs. Xe (Seh) worked with this social worker to help receive military pension for her husband. Sadly Nia’s birth father died when Mrs. Xe was pregnant with her. A few years later she remarried and had another daughter. Unbeknown to Mrs. Xe, because she never heard what happened to Thy, (Nia) after she relinquished her, she gave her last child the same middle name as Nia’s fabricated name, which was given to her by the adoption/officials and written on the substitute birth certificate. This name was Ngoc Bich (Pronounced,[link widoczny dla zalogowanych], Bit) and her half sister’s name is Bich Tuyen…
And the last and most exciting synchronicity is that on Valentine’s Day after receiving word that the birth search was successful, I said to Nia, “Wouldn’t it be great if Catalyst Foundation had cultural tours so we could see your beautiful country of origin and go with Caroline or Quynh to meet your birth family on the same trip”? A few days later I received notice from Catalyst Foundation; announcing new Cultural Tours of Vietnam starting this summer! … Our family plans to join this tour next summer, 2012 and combine it with a visit to Mrs. Xe,[link widoczny dla zalogowanych], the woman who gave life to our glorious daughter. Happy Mother’s Day!
How remarkable is this discovery which unraveled in less than three months?! And there is more. The name on Nia’s substitute birth certificate is not the name she was given at birth… Her real first name is Mong Thy (pronounced Tee-h) Seven months into our adoption proceedings I had an intuitive thought in regards to naming our new baby girl. I heard, “Nia, (pronounced Nee-a) her name needs to be short and sweet”.
